Job Description for Administrative Assistant – Outpatient Mental Health Clinic (OMHC)

Classification

Non-exempt, hourly, part time or full time.

Job Description

Summary/Objective

The Administrative Assistant is responsible for contributing to the overall workflow and professional presentation of the OMHC. She/he will assist with all daily operations of the office, handle duties for upper management, and complete required reports. The Administrative Assistant should be able to handle multiple projects at a time, manage complex schedules, and facilitate all aspects of administration. The Administrative Assistant is responsible for carrying out the mission, philosophy of care and policies of APS LLC. She/he also performs other duties as needed to achieve program goals and objectives.

Essential Functions

· Engages in positive verbal and written communication (via telephone, email, in-person, etc.) with clients and fellow professionals. Offers assistance though problem solving and connection to the appropriate individuals and resources, while maintaining a polite and professional demeanor.

· Supports the clinical staff in any and all appropriate ways.

· Communicates the scope of services offered by the agency, and assists clinicians wishing to initiate the referral process by distributing necessary paperwork.

· Greets and initiates the paperwork process for new clients.

· Ensures accuracy of billing through the review of previously entered data, and occasionally assists with initial billing entries.

· Completes operational requirements by scheduling necessary work/repair orders, following a cost analysis and consultation with the Office Manager.

· Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

· Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.

· Contributes to team effort by accomplishing related results as needed.

· Completes other duties as necessary and as assigned.

Supervisory Responsibility

Administrative Assistants do not possess supervisory responsibilities.

Work Environment

This job operates in a professional office environment requiring routine use of standard office equipment.

Physical Demands

In order to perform the duties of this job, the employee is regularly required to communicate and hear. The employee is required to stand, walk, use hands and fingers, and reach with hands and arms.

Position Type/Expected Hours of Work

To be determined based on assigned program and type of employment.

Supervision and Coordination of Services:

The Administrative Assistant will report directly to the Executive Administrator. The Administrative Assistant will coordinate with other agency employees, as well as with multiple outside organizations and service providers in order to complete job duties.

Travel

Position requires employee to travel to and from the various locations of the organization as needed for trainings, meetings, and other events as necessary utilizing their personal vehicle.

Required Education and Experience

Associate of Arts (AA) degree and at least 3 years of experience in administrative position

Preferred Education and Experience

1. Bachelor of Arts (BA) degree with at least 5 years of administrative experience
