Position Description

The Assistant to the Deputy Director (ASO4) position performs a variety of responsible administrative and clerical duties involving scheduling, record keeping, preparing documents, generating reports, working on special projects and other related assignments for the Nashville Department of Transportation and Multimodal Infrastructure (NDOT) Engineering division. The candidate will work closely with the department’s “Deputy Director” who oversees all aspects of the division. Duties will also include coordinating activities within the Engineering division and providing direct support for the Deputy Director. Performs related duties as assigned.


This is a position that is eligible for a hybrid work schedule and can telecommute.


The Department of Transportation and Multimodal Infrastructure delivers a range of services, and the nearly 400 employees work around the clock to ensure a multimodal system that offers choice and better connects neighborhoods, residents, businesses and visitors to the place that they need and want to go to in a safe manner. These employees are responsible for over 2,200 miles of public roadways and rights-of-way, over 6,000 streets, over 300 bridges, 835 traffic signals and over 1,200 miles of bike/sidewalk lanes and much more. Big events in Nashville consist of CMA Festival, Stanley Cup Finals, Titans games, and any number of special events. These require big preparation and big clean-up and the Nashville Department of Transportation employees are up for the challenge.

Typical Duties

  • Serves as a point-of-contact to address questions or issues concerning engineering related matters for NDOT Stakeholders.
  • Performs day to day management of calendar and incoming emails for the Chief Engineer.
  • Consults with staff and responds to follow-up requests/complaints with resolution.
  • Organizes department meetings: scheduling, agenda development and recording minutes.
  • Maintains detailed records of meeting action items and outcomes.
  • Develops presentation materials for internal and external meetings including materials for public meetings, council meetings, internal metro department meetings, and others.
  • Coordinates travel arrangements and requests for Engineering staff.
  • Manages office inventories to ensure material resources are sufficient to perform work tasks.
  • Assists with invoice and purchase order processing for Engineering division.
  • Monitors and coordinates engineering and planning hub activities to ensure all requests are resolved in a timely manner.
  • Assists department managers in the tracking of capital program budgets.
  • Collaborates with department managers with annual capital improvement budget requests.
  • Coordinates with the Chief Engineer with the development and maintenance of workflow management activities.
  • Works on special projects as directed by the Chief Engineer or their designees.

Minimum Qualifications

EDUCATION AND EXPERIENCE

Bachelor's degree plus considerable (3-4 years) of increasingly professional administrative experience, including experience providing administrative support to a high-level management.

Substitution will be considered.

LICENSE REQUIRED

Valid Driver License.

Candidates with accreditations earned in a foreign institute are encouraged to apply.
