The International Language Institute of Massachusetts, located in downtown Northampton, is made up of an enthusiastic and dedicated group of students, teachers, board of directors, and community supporters who have been working together for 38 years to advance our mission of encouraging multicultural understanding and creating strong, diverse communities through language instruction and teacher training.
We are seeking a Bookkeeper for 25-hours/week. The idea candidate will have two years relevant experience, demonstrated ability to meet deadlines, and excellent oral and written communication skills.
Job Description
Performs all bookkeeping tasks for the organization. Also responsible for ensuring compliance with Wage and Hour Laws for the state of Massachusetts. Reports to the Executive Director.
Duties
- Manages a computerized set of double-entry books of account in a fund accounting environment using QuickBooks.
- Manages cash receipts records. Enters cash, checks, wire transfers, and credit card transactions and records them to the proper general ledger account.
- Ensures payment of accounts payable, with the prior approval of the Executive Director.
- Ensures accounts receivable are obtained and recorded in a timely manner for Dept of Education contracts, TESOL, Intensive English Program, World Language students, Workplace clients and Language Travel commissions.
- Ensures donations are properly recorded and acknowledged.
- Reconciles bank statements monthly.
- Secures approved timesheets from supervisors and sends necessary information for payroll to the payroll service. Responds to employee inquiries about payroll issues. Ensures appropriate tax payments are made and state mandated leave policies are adhered to.
- Prepares reports, files, and documentation for audit, schedules auditor visits and works with them, as needed.
- Works with the Executive Director to create an annual budget.
- Creates spreadsheets for Board of Directors including Cost analysis, Budget vs. Actual, Year End projections, etc.
- Handles inquiries from vendors.
- Maintains all legal records and employee files according to record retention policies.
- Maintains all insurance policies and records.
- Makes recommendations for appropriate storage and maintenance of all files.
- Other duties, as assigned.

Pay: $27.00 - $30.00 per hour
