Hiring Range: $40,580.80 - $51,563.20/Year D.O.Q.
This position, under the direct supervision of the Director of Community Relations and Manager of Community Relations, is responsible for ensuring proper logistics and active participation in assigned Port business-related activities.
ESSENTIAL FUNCTIONS
Prepares and reviews complex documents including presentations and special reports as needed- Gathers, assembles, produces and disseminates key reports
- Composes letters, e-mails and memorandums in final form and creates, edits and proofs reports, letters, databases and other materials
- Plans, coordinates and promotes assigned internal and external business events requiring Port staff participation
- Coordinates logistics, requirements and ensures proper logistical approach from commencement to completion for assigned business special events hosted and sponsored by the port
- Produces, formats and edits agendas for planning meetings and programs
- Creates spreadsheets on sponsorship events, to include tracking of tables
- Develops detailed spreadsheets for various projects, as needed
- Collaborates with staff, management, clients and vendors to ensure special event needs are met
- Manages Community Relations calendar
- Assists in informing participants of special event provisions and programs
- Coordinates and keeps track of staff participation at assigned voluntary business special events
- Develops and maintains the Port's events matrixes and produces external weekly reports for Chief External Officer and Director of Community Relations
- Assists with presentations and guest speaking engagements for stakeholders and business events
- Works to fulfill department objectives
- Performs functions in a thorough and professional manner, maintains an acceptable level of competence, discretion and professionalism
- Adheres to Port Policy and maintains good employee relations
- Drives vehicle as necessary to complete assigned tasks and works required hours/shifts necessary to fulfill position objectives
- Performs other related duties as assigned
- Tier 3 status designation
CANDIDATE PROFILE
The preferred candidate for this position should be an organized and disciplined individual with excellent time management skills. Effective at dealing with all levels of management, multi-task, and motivate others. The successful candidate must possess the following:
EDUCATION & CREDENTIALS
- High School diploma or equivalent
- Bachelor’s degree in Public Relations or Communications preferred (not required)
- Valid driver’s license
- Ability to obtain and maintain a Transportation Worker Identification Credential (TWIC) during course of employment
EXPERIENCE & JOB KNOWLEDGE
- Knowledge of Microsoft Office products with emphasis on Excel and PowerPoint
- Demonstrated written and oral proficiency in the English language
- Proficiency in Spanish preferred
- Effective writing, editing, and presentation skills
ESSENTIAL PHYSICAL JOB FUNCTIONS
- Ability to perform essential job functions, including but not limited to frequent standing, walking, sitting, speaking or hearing, typing and occasional reaching, stooping, kneeling, lifting and/or moving up to 20 pounds with or without reasonable accommodation
- Ability to work in a general office environment, and on a work site with exposure to adverse weather conditions, fumes and /or air particulates, working in high precarious places, risk of electrical shock and moving mechanical parts, moderate noise levels and working at heights, ability to wear personnel protective equipment, including hard hat, steel toed footwear, eye and hearing protection when performing work functions
- Communicating verbally, in writing and over devices such as phones and mobile phones
- Ability to operate mechanical and electrical equipment and light-weight highway vehicles and standard office equipment and to work the requisite hours to fulfill position objectives, including evenings and/or weekends, as needed
