General Description:
Provides administrative and customer/client support to assigned department or team. The primary role of a Coordinator within On-Line Letter Writer (OLLW) is to maintain all of the letters that DMI generates via the On-Line Letter Writer system. The Coordinator works closely with the Compliance Department, as well as other key staff members throughout DMI, to fulfill any requests submitted via the ResearchOLLW Proxy. The majority of the requests consist of revisions to existing letters and new letter creations. The Coordinator is also responsible for adjusting security access levels and completing all requests in a prompt and accurate manner. Reports to Manager.
Responsibilities - Include, but are not limited to:
· Set up, prepare and/or update assigned documents, files, databases according to departmental procedures.
· Receive and respond to inquiries or requests for information from internal partners and external agencies or vendors.
· Review documents, reports, presentations, files, and other written materials for accuracy and completion.
· Prepare and maintain timelines and task assignments for assigned projects.
· Prepare, assemble, or proofread correspondence.
· Facilitate the request and receipt of needed research or deliverables from other departments.
· Update and maintain tasks and activities in required databases.
· Ensure all documentation is completed or updated timely and accurately and is scanned, logged, filed, stored, or preserved in accordance with organizational guidelines.
· Run and analyze reports as required to ensure integrity of information and completion and accuracy of data.
· Track incoming and outgoing documents and correspondence to ensure timely receipt to intended parties.
· Fulfill OLLW Requests that have been submitted by various departments via the ResearchOLLW Proxy.
· Create, edit, delete, and provide current copies of all requested letters.
· Submit completed letter(s) to Coordinator III to ensure request was handled completely and accurately.
· Coordinate with Compliance and/or department managers to ensure accuracy of OLLW Requests, obtain appropriate approvals, and authorization to adjust letter generation security levels.
· Track and record all pertinent information for each and every OLLW Request.
· Archive inactive letters from the OLLW Library when applicable or requested.
· Successfully complete annual regulatory compliance training.
· Additional duties as assigned.
Required Qualifications:
· High school diploma or equivalent
· 5+ years providing administrative support in a fast-paced environment
· 3+ years’ experience in mortgage servicing, real estate, or applicable field
· Strong PC skills, including Microsoft applications and loan servicing platforms
· Good writing skills, to include spelling, grammar, sentence composition, and proofreading
· Effective verbal and written communication skills with demonstrated ability to interact in a positive and professional manner at all times with all levels of both internal and external audiences
· Ability to handle confidential information with discretion and professionalism
· Ability to effectively multi-task and prioritize duties in support of multiple simultaneous projects
· Excellent written and oral communication skills
· Advanced Proofreading skills
· Must be self-motivated and possess excellent organizational and follow-up skills
· Ability to handle multiple tasks and prioritize
· Maintain a positive attitude and professional demeanor
· Ability to manage assignments independently while also working effectively as part of a team
Preferred Qualifications
· College degree, preferably in English, Writing, Journalism, or Auditing

· The employee is regularly required to communicate (give/receive information) through multiple methods of communication. The employee is frequently required to stand or walk (or otherwise move through the organization); sit; use hands to type, write, handle or feel and reach with hands and arms. The employee may occasionally climb or balance; stoop, kneel, or crouch; or lift and/or move up to 25 lbs. The noise level is usually moderate and typical of an office environment. The employee may be required to use a variety of standard office equipment, including computer keyboards and monitors, phones, printers, etc.
