Position Function
Maintain inventory and manage rental of university owned properties including instruments, equipment and lockers, assist with School of Music building security, scheduling, and maintenance.
Some weekend and evening hours may be required.

Minimum Education
Associate’s degree or:
1. An equivalent combination of two years of education and related experience in office administration / secretarial work or related field OR
2. Two years of related experience in office administration / secretarial work, or related field.

Minimum Experience
At least one year of experience in an inventory and/or scheduling function with related administrative/clerical experience.

Minimum Other

Authorization to work in the US
Candidates for searches must have current authorization to be employed in the U.S. without employer sponsorship.

Preferred Education
At least one year of supervisory experience.
Experience with or articulated interest in working in an arts focused environment.

Job Duty
Maintain inventory of keys for all doors within the School of Music and some areas of other buildings used by the School; issue/collect keys from faculty and graduate assistants; maintain records of all issued keys.

Rent/check-out university owned instruments, practice room keys, and various other equipment to School of Music students and faculty; includes billing of rental charges, deposits, charges for unreturned equipment and keys, etc.

Rent instrument, coat and percussion equipment lockers; maintain records of rentals and lock core numbers; change locks; perform general maintenance on locks/lockers.

Re-issue keys and re-core locks as required, sometimes on an emergency basis.

Initiate requisition forms for purchase, repair, or overhaul of instruments; follow-up with School of Music Administrative Coordinator on all transactions.

Collate and communicate schedule to School of Music faculty, staff, students for performance venues, rehearsal spaces, and classrooms within the School of Music. Arrange and maintain master events calendar for all season / academic year performance activities; in collaboration with the College of Fine Arts marketing and management staff, authorize additions / deletions / changes to calendar and assist in coordination of space for studios, ensembles, lessons, and other School of Music needs.

Assist with the scheduling of all backstage student workers and the oversight of operations of Sursa Hall and Choral Hall and follow up on any maintenance issues that arise; maintain instruments and equipment housed in both halls; work with performers to ensure set-up needs are met.
