About the opportunity:
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following assigned duties:
  • Greet and assist all prospects and residents in a positive, professional manner.
  • Create and complete work orders.
  • Check voice mail boxes and email requests for various services multiple times throughout the day.
  • Have outstanding customer service skills and be able to demonstrate active de-escalation skills.
  • Maintaining an on-going knowledge of Real Page, the main property software program.
  • Maintain a working knowledge of all tabs under Real Page OneSite (Prospects, Residents, Facilities)
  • Responsible for documenting and facilitating resident requests for parking, storage, storage audits and service.
  • Answer incoming telephone calls (prospect inquiries, resident issues, service requests, general accounting inquiries, administration etc.)
  • Assist current residents with additions/deletions and follow through with the process from start to finish. Ensure they are aware of income qualifications. Make proper notes in Activity Tab as well as ensuring packet is properly saved under DOCS / PDF Leases.
  • Ensure that the office lobbies represent the highest standards. Place work orders for items that need service (lighting, cleaning etc.). Keep areas clean, well-stocked and organized.
  • Ensure that the model apartments are open daily (lights on, blinds open, and AC on) and inspect for any needed work orders.
  • Conduct file audits for leasing files consistently throughout the month.
  • Prospective Residents - Enter leasing traffic telephone calls and daily activity into the lead tracking program.
  • Schedule appointments for prospective new clients, returning prospects and transferring residents with the leasing agents.
  • Assist prospective clients with the online process of reviewing availability, holding an apartment home and filling out the application.
  • Assist the leasing departments with short tours, walk-in tours or apartment viewing with a high level of urgency.
  • Work with the Leasing Office to assist with resident move ins and move outs. Includes assigning elevator reservations.
  • Provide relief or additional support to the receptionists.
  • Actively request positive customer feedback to all social media platforms (Yelp, Google, etc.)
  • Assist residents with filling out NTV’s and ensuring they get to the AR Department for processing.
  • Properly and promptly document any notes, communication, requests or important information in resident files under notes.
  • Maintain basic accounting/ledger knowledge for general assistance to residents.
  • Join inspectors for occasional occupied work order inspections.

  • Dependability – the individual is consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performance.
  • Safety and Security – the individual observes safety and security procedures and uses equipment and materials properly;
  • Computer Literacy - the individual has proven skills in Microsoft Office/Suite to include Outlook, Teams, Word, Excel, PowerPoint, OnSite/RealPage and AIMS.
  • Multi-Tasking – the individual is able to prioritize, work independently, and multi-task with comfort and efficiency.
