Our position:
Seeking an office manager that will work closely with the owners. Lead our office by overseeing the staff and providing excellent care for our patients. This position will have full accountability for achieving financial objectives, operating efficiency, and excellence in patient care. The manager will achieve results by building high-performing teams, operations effectiveness, maximizing on growth opportunities, having a strong hold on key organizational initiatives and ensuring successful implementation in the practice.
Responsibilities:
Lead the office with strong guidance and inspire team to excel in areas of performance including patient care, revenue growth, collections, and instill high level of self-accountability on a daily basis. Work closely with owner(s) to implement their vision/goals. Provide continuous direction and support to direct reports and raise awareness on operational priorities like productivity, schedule management, business expense management, increasing new patient flow. Analyze business and financial data on a daily basis to recognize and build on strengths, provide daily feedback to improve weak areas of performance and identify anomalies occurring in the practice. Help develop talent and continuously build a healthy pipeline of future leaders.
· Ability to come up with proposed solutions, utilize available resources/documents (checklists, SOPs, scripts) consistently to ensure implementation was successful
· Run monthly office business meetings with staff
· Drives practice productivity and performance goals and works with leaders to make adjustments.
· Be present in the office to direct and management performance real-time
· Collaborates with team to meet/exceed monthly revenue goals, NP goals, and expense projections
· Address team member complaints in timely and compassionate manner.
· Patient interaction
· Assists with team member support and perform other duties as needed
· Assess and make recommendations to ensure optimal comfort, safety, and compliance with regulatory bodies (OSHA).
· Partner with the People Team on hiring, retention, and performance management with collaboration & feedback from the Managing Dentist.
· Cultivates an exemplary customer experience for members and team members and promotes effective communication skills across the team.
· coaching/additional training, performance management, both informal and formal check-ins and reviews.
· Ensures the practice operates optimally, effectively, efficiently and in accordance with established standards, across staffing, scheduling, inventory, and member experience.
· Manage all staff schedules to optimize the member experience, align with volume expectations, and meet office performance targets.
· Maintain annual OSHA, HIPAA, B LS and infection control training as required by law.
· Sense of urgency and ownership around scheduling templates. This includes regular audits, partnering with the team to create same-day treatment opportunities, and urgency around scheduling treatment within 2 weeks of diagnosis.
Your experience:
2years of experience is a plus but is NOT required. Bachelor’s degree from accredited college/university preferred by not required. Minimum two years’ of relevant work experience as dental business/office manager/dental assisting. Proficient in English with strong verbal and written communication skills.
Additionally, high levels of collaboration are required with office management, non-clinical staff, and executive leadership team in regard to company initiatives, dental office management, growth, collections, profitability, communication, motivation, and patient care.
