The Opportunity

The Executive Assistant (EA) to the Chief Executive Officer (CEO) will provide comprehensive, diverse, advanced and confidential executive level administrative support to our CEO, including, the management of complex meeting schedules, arranging travel and preparing itineraries, processing and approving expenses, compiling reports, presentations, meeting minutes, preparing agendas and responding to routine and non-routine correspondences professionally. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, personnel and institutional information while exercising professionalism and discretion.


What You Will Do

  • Access, review, prioritize, triage and respond to inbound communications.
  • Manage and schedule daily calendar and business activities for CEO, across different time zones to maximize time and meeting cadence
  • Serve as a central point of contact for the coordination of the CEO’s activities and ensure preparation of relevant documents and briefing materials
  • Administrative management of all executive, leadership and board of director meetings, events, etc.; drive effective cadence of meetings by preparing agendas, presentations and logistics
  • Arrange domestic and international business travel, complete travel and expense reports, and manage logistics of travel-related activities

What You’ll Need to Succeed:

  • A minimum of 5 years of advanced executive administrative experience working with C-suite or executive level management
  • Experience working within a Fortune 500 or Fortune 1000 company (fast growing/start up)
  • Strong communication skills (written and verbal) and the ability to communicate effectively with internal and external stakeholders (colleagues, leadership, Board members, customer, partners)
  • Discretion and judgment to ensure applicable private/proprietary business information, data, transactions and correspondences are kept confidential
  • Ability to build strong working relationships
  • Ability to exercise independent judgment with minimal direction
  • Expert organizational and time management skills and the ability to manage competing priorities with minimal supervision
  • Superior follow-up skills
  • Keen attention to detail
  • Resourcefulness and tenacity in accomplishing objectives
  • Advanced proficiency with Microsoft Office (Outlook, Word, PowerPoint, Excel) and over technical savviness
