Job description
Summary: WindRiver operates several different businesses including, but not limited to, real estate, club membership, hospitality, dining, events, golf, and marina management. As Front Desk Administrator, you will provide exceptional customer service, always being knowledgeable, courteous, and professional in your dealings with the public.
This position will perform office administrative tasks not only for WindRiver, but also for Norton Creek. You will work as a remote support admin for the Administrator located on-site at Norton Creek.
Responsibilities:
Guest Service Representative - WindRiver
- Create a positive first impression for guests and owners by providing exceptional front desk and reception service
- Maintain the cleanliness and professional appearance of the front entrance, lobby, and conference rooms
- Maintain and replenish appropriate stock of WindRiver marketing materials at front desk
- Complete Manor opening and closing checklists daily
- Complete bookings and details for discovery tours through Guesty and communicate necessary information with Real Estate and hospitality departments
- Receive incoming calls on WindRiver main lines and direct to appropriate real estate professional or another department representative
- Follow up and return voicemails left from the night before in a timely manner
- Provide backup for incoming calls when facilities are closed or for call overflow
- Enter real estate leads into the CRM, completing assigning tasks to the sales assistants
- Fulfill requests for sending or receiving mail and informational packages
- Provide real-time reports for all showings and tour activities
- Work closely and communicate effectively with all WindRiver departments
- Provide expertise and support for WindRiver real estate and administrative departments
- Adhere to WindRiver's regularly updated COVID-19 response bulletin
Support - Norton Creek
- Receive all incoming calls on Norton Creek main lines and assist or direct to appropriate person if needed, returning voicemails left from the night before
- Follow up and return voicemails left from the night before in a timely manner
- Provide backup for incoming calls when facilities are closed or for call overflow
- Complete bookings and details through online reservation system (Guesty), collecting and entering travel insurance when needed
- Work closely and communicate effectively with all Norton Creek employees both verbally and written through email and Microsoft Teams
Qualifications:
- High School diploma preferred
- 2 years of relevant office experience
Knowledge/Skills/Abilities:
- Strong Microsoft Office experience preferred
- Ability to analyze and solve problems; efficiently handle multiple duties under pressure
- Must be willing to work a flexible schedule including weekends, holidays, and evening shifts
- Demonstrated positive interpersonal and communication skills with staff and customers
- Strong organizational skills and general clerical skills including the use of computers, printers, copiers, electronic signatures, email, iPads, etc.
- Give verbal and written instructions clearly
- Perform mathematical calculations involving fractions, decimals, and percentages
- Ability to retrieve information from various technical sources
- Positive attitude, professional manner, and appearance in all situations
Schedule: This position will work from WindRiver's Overlook Manor Welcome Center. The schedule will reflect every other weekend, Monday-Friday on weeks without weekend work, and off Thursday-Friday on weeks with weekend work.
Physical Requirements: Must be able to bend, stoop, climb, twist, kneel, lift, push, and pull items weighing up to 30lbs.
