Position Overview
Responsible for performing a variety of front of house and administrative duties associated with supporting onsite receiving, meetings, events, and any other gatherings that may take place at Schroders’ New York office. The role requires individual to act as a Corporate Services team point of contact and provide administrative support to all aspects of these meetings and events in a friendly and customer centric manner.
Responsibilities
- Act as day-to-day contact for the business for all meeting requirements
- Oversee reception
- Notify building of future visitors for security clearance
- Continuous high service level and hospitality to visitors
- Deliver professional greeting of clients and visitors as required
- Answer incoming calls, determine purpose of calls, and forward call to appropriate party
- Manage conference rooms including beverage requests, catering management, and cleaning. As needed, be willing to empty trash, wash dishes, pick up after meetings and clean conference rooms.
- Maintain clean and presentable reception area and catering pantry
- Develop strong communication and procedures to guide service implementation making improvements or changes where required
- Maintain and/or improve safe working practices to ensure safety of building occupiers and visitors
- Implement dynamic operation working procedures to support the delivery of service excellence
- Maintain knowledge and database of relevant suppliers and caterers
- Manage corporate hospitality opportunities and coordinate bookings as required
- Support the events team if and when required
- Maintain and restock catering pantry
- Schedule pre-event calls with colleagues to discuss requirements and structure of meetings
- Assist event and meeting participants with technology issues including troubleshooting and escalation to technology teams as needed
- Sort and Deliver mail on a daily basis, as needed
- Assist with shipment of business related packages, as needed
- Administrative support as needed for other functions of the Corporate Services Team
- Assist with internal office moves including Conference room and onsite event setup
- Keep common areas including copy rooms and coffee bars stocked, neat and organized
Basic Qualifications
- Client ready, friendly attitude
- Ability to manage fast paced environment with multiple stakeholders
- Excellent verbal and written communication skills
- Flexibility to work overtime as needed
- Proficiency using Microsoft Outlook, Word and Excel
- Be able to lift up to 35 pounds
Preferred Qualifications
- Excellent organizational skills; ability to perform multiple tasks with minimal supervision
- Personable and energized by interactions with guests and colleagues, possessing strong interpersonal skills
- Strong willingness to learn, drive to take initiatives, and ability to use appropriate problem solving techniques
