Position Scope and Charter:
Vertex Professional Services is seeking full-time, onsite, hourly Learning and Development Administrative Specialists in the Dallas Metro area supporting a Richardson, TX Training and Event Center location. This position works in close coordination with the Training Support Services Manager and Program Deployment Managers to support planning and execution of all learning program aspects including learning implementation, budget monitoring and reporting, schedule, deliverables, customer interface, and logistics for training events in the Connecticut event centers and across the country. The person who fills this position must be a critical thinker, a self-starter, and can work within a geographically dispersed matrixed organization.
Responsibilities include but are not limited to:
- Provide onsite customer support ensuring all center services/events are executed to specification and yield high customer satisfaction
- Work with customers to develop requirements and execution plans to meet overall program/project needs within planned budget guidelines and Service Level Agreements
- Provide logistical support for training events including scheduling, planning and operation of these events for local and remote locations
- Support meetings and virtual classes/events using virtual delivery tools such as Zoom or WebEx
- Manage shared site content with program related data, instructional, financial and operational documentation
- Prepare various reports, billing detail, program metrics and overall status updates for internal and external use in a variety of formats
- Extensive use of Learning Management System (LMS) or other supporting systems to schedule courses, classes and events, update enrollments and completions, and generate reports
- Work within data privacy and other finance and communications guidelines to ensure proper protocols are followed
- Schedule vendor resources, create purchase requests, manage purchase orders and verify invoices
Required Experience:
- Six years' experience in a professional environment to include working one-on-one with clients
- Intermediate skills with Excel, Word, PowerPoint and AdobePro
- Excellent customer service, interpersonal, written, and verbal communication skills
- Experience tracking budget items, controlling expenditures, and preparing billing detail
- Self-directed with strong independent judgement and decision-making skills
- Some work outside of normal business hours and on weekends may be required
- Ability to lift up to 35 pounds
- Ability to commute to other local event centers/venues and up to 10% overnight travel
Desired Experience:
- Experience in the learning and/or event management/logistics industries
- Familiarity with Learning Management System administration
- Experience with SharePoint and Adobe Acrobat
- Familiarity with Cvent or other event management tools
Required Education:
- High school diploma or equivalent required
- Associates degree preferred
This position requires a U.S. Person who is eligible to obtain any required Export Authorization.
