The Colorado Mental Health Hospital at Fort Logan (CMHHFL) is one of two state hospitals serving our community. The vision of CMHHFL is to provide the highest quality mental health services to persons with complex, serious, and persistent mental illness within the resources available. Our mission is to support those individuals in achieving their recovery goals and reaching their full potential. CMHHFL provides inpatient treatment to adult patients, generally between the ages of 18-59. The hospital currently has 138 adult inpatient beds and over six treatment milieus serving civil and forensic individuals. Medical services, occupational therapy, neuropsychological-rehabilitation services, and trauma-informed care services are available for all patients throughout the hospital.

About this Position:
The purpose of this position is to provide Fort Logan internal and campus mail services to correlate with the United States Postal Service (USPS) by picking up and sorting all incoming and inter-departmental mail by using updated patient census lists and utilizing current employee listings and other tools, and to provide administrative support by being generally aware/capable of running the mail room department. In addition, this position will also complete light project work such as hanging pictures and putting together select furniture, if unable to be completed by the vendor or if outside of the special project scope as negotiated with DFM.
Primary Job Duties:
- Determine the process to follow when mail is undeliverable and act accordingly.
- Determine the location of staff/patients within the hospital and campus complex that are receiving mail and packages by selecting appropriate databases, access programs, and locator systems.
- Decides how to prioritize the timely delivery of packages/mail.
- Determines office hours and other processes/procedures as needed to support timely pickup and collection of packages.
- Determines if outgoing packages have correct postage and pre-paid fees.
- Decides if outgoing mail meets the United States Postal Service rules and regulations.
- Decides when to consult with the Medical Records staff on patient mail.
- Decides which log book to log outbound mail in.
- Determines when procedures need to be updated to reflect modified and/or changing processes
- Decides what resources and tools are used to find patients and/or staff to include but not limited to: Ancillary Web, Position Listings and Phone Directories, and other internally created tools specific to Mail Room use.
- Decides when to contact departments directly to request assistance with troubleshooting patient/staff locations.
- Determines if mail is undeliverable and returns to the sender when research is exhausted.
- Decides if existing mechanisms and procedures are sufficient to effectively meet the standards of the department. Selects which processes and procedures need to be updated
- Tracks, assembles and distributes small office furniture and non-medical hospital equipment.
- Other duties as assigned
Minimum Qualifications:
Three years of experience performing administrative assistant duties, such as taking phone calls, customer service, scheduling, completing paperwork, or other related tasks.
Substitutions:
Appropriate education will substitute for the required experience on a year-for-year basis.
Preferred Qualifications:
Government or public sector experience- Experience working in a postal service, mail room, or like entity
- Ability to follow multiple instructions and assembly methods
- Attention to detail
- Strong customer service skills
- Strong organizational skills
Conditions of Employment:
The successful candidate in this position must be willing and available to submit to the following conditions:
- Full background check.
- Tuberculosis (TB) testing required.

- On or after October 31, 2021, each facility shall ensure all newly hired employees, direct contractors, or support staff members are fully vaccinated at the time of hire, or receive their first dose of a two-dose protocol, or a single-dose vaccination, prior to providing any care, treatment, or other services for the facility and/or its clients.
