The Warehouse/Procurement Administrator generally oversees warehouse activities and procurement of operational supplies for the water, irrigation, and wastewater operations of The Villages.

The Warehouse/Procurement Administrator uses a variety of soft skills and industry knowledge to promote efficiency in warehouse and procurement operations including:

  • Excellent leadership skills, including the abilities to set goals, motivate and manage conflict
  • Effective communication skills, including writing, speaking and active listening
  • Great interpersonal skills
  • Good project management skills, including strong decision-making, problem-solving and strategic planning abilities
  • Exceptional time management and organization skills
  • In-depth understanding of industry and company best practices for the warehouse
  • Comfortable using CMMS inventory management software (Cityworks and Maintenance Connection) and other organizational computer applications
  • Physical strength, stamina, and the ability to walk or stand for long periods of time
  • Skilled in meeting deadlines, working under pressure, and working autonomously in a team environment
  • Provide training to peers on Purchase Order (PO) functionality
  • Assist Business Manager in the preparation of month end and year end closing processes

Education and Training Requirements

  • Candidates should have a high school diploma or GED. Candidates may also have completed on-the-job warehouse organization and procurement operations in another role.
  • Preferred candidates will have an associate or bachelor’s degree in business operations, supply chain management, procurement, or another related field.

Experience Requirements

  • As a managerial role, candidates to have a minimum of four years of experience working in a warehouse/procurement role in a utility related industry or similar.
  • Warehouse management experience is preferred.

Responsibilities:

The Warehouse/Procurement Administrator completes various management, organization, and planning tasks to maintain high performance of the warehouse’s storage and distribution processes and handles general procurement activities. Specific duties and responsibilities include:

  • Audit and report inventory quantities on a monthly and annual basis
  • Manage warehouse associates, ensuring proper procedures are being followed
  • Establish warehouse practices and protocols to achieve high level efficiencies
  • Set warehouse and team goals in alignment with executive management
  • Monitor workplace performance and lead training initiatives to improve efficiencies
  • Develop and administer safety protocols within warehouse and storage areas
  • Communicate with vendors and other departments to ensure orders are processed in a timely manner
  • Maintain sound working relationships with vendors to ensure responsive service and timely resolution of delivery related issues
  • Manage and maintain all information regarding procurement on the CMMS business systems (Cityworks and Maintenance Connection)
  • Maintain ongoing communication and respond to any questions related to purchases
  • Receive and validate incoming deliveries
  • Prepare and place purchase orders within CMMS systems
  • Answer supplier and customer questions on purchases and supply orders
  • Follow up with suppliers and staff on open order status
  • Work with suppliers to assure timely and accurate deliveries
