Office Manager/Executive Assistant

Madrone Ventures is a family owned and operated commercial real estate management and development group with deep roots in San Jose, CA. We own and operate several assets in northern California and strive to provide excellent places for people to live, work, and enjoy. We share an office and work closely with Studio Current, an urban design and architecture firm focused on creative design and reinvention of the urban environment of Silicon Valley.
We are looking for an Office Manager/Executive Assistant to be the backbone and help build our team as we grow both sides of the business. The ideal candidate has a strong background in office management and executive assisting roles. You will be an integral person in our small team and will have an important role in helping to shape the built environment of Silicon Valley.
What You’ll Do
OFFICE MANAGEMENT
· Create a welcoming environment for office employees and guests.
· Greet guests and manage incoming calls.
· Manage general correspondence – mailing, shipping, documents pickup and delivery.
· Keep office common areas organized – kitchen, office supplies room, etc.
· Maintain all the moving parts of the office – supplies, snacks, equipment.
· Support office staff – Office keys inventory, service requests, IT support issues.
· Support Accounting staff – packaging checks, bank check runs, scanning, filing.
· Manage staff, tenant, and vendors gift packages (3-5 times/year).
· Plan and execute staff events – team lunches, birthdays, summer and holiday parties, etc.
· Take on general office Ad-hoc projects as needed.
EXECUTIVE ASSISTANCE
· Manage travel arrangements – Lodging, airfare, etc.
· Manage gifts and personal correspondence – mailing, shipping, documents pickup and delivery.
· Coordinate with vendors and meet them at the owners’ place of residence.
· Run errands
What We Look For
Education: AA/BA/BS degree preferred.
Experience: 2+ years’ experience related to responsibilities specified.
Knowledge, Skills and Abilities:
· Self-starter
· Proactive
· Strong interpersonal and communication skills with an ability to work effectively with a wide range of people, teams, managers, and vendors
· Superb organizational skills, problem-solving and analytical skills
· Time management guru
· Excellent computer skills including proficiency with the Microsoft suite, Adobe, and DocuSign
· Ability to make sound and evaluative judgments
Job Type: Full-time
Pay: $28.00 - $34.00 per hour
