Overview

Under the direction of the Area Manager, provides administrative support to the Head Start center. Implements and ensures quality services to children and families in accordance with Head Start Performance Standards. Provides support to staff in all activities affecting and involving children. Oversees use and inventory of office equipment and materials.

Key areas of responsibility

  • Provides administrative support for all aspects of the center in accordance with the Centro’s policies and procedures, the Head Start Act, Head Start Performance Standards, applicable state and local law, and best practices in child care.
  • Ensures that supervision, safety, and health policies and procedures are followed. Ensures that the front desk is always staffed during service hours.
  • Independently monitors bus evacuations ensuring that children are safe and secure always. Keeps documentation of the evacuation drill and send to the Health & Safety Specialist.
  • Maintains a welcoming atmosphere by answering phones and greeting clients and staff in a courteous and professional manor.
  • Maintains the center calendar found on SharePoint up-to-date with center activities and school closures.
  • Ensures center administration meetings and center in-service meetings are well documented and uploads meeting minutes into Sharepoint weekly.
  • Assists in center-based ongoing monitoring efforts to ensure quality standards are met.
  • As directed by the Area Manager, assists Education Specialist and Family Service Specialists to engage parents in the education of their children. Once trained, follows Centro’s School Readiness Plan and the Family, Parent, and Community Framework.
  • Works with the Center Support Specialist, Area Manager, and Human Resources Specialist to ensure vacant positions are posted. Facilitates the interview process for vacant positions.
  • Supports new staff in attending the new hire orientation training.
  • Works with Center Support Specialist, Area Manager, and Human Resources Specialists to maintain accurate electronic personnel records in accordance with Centro’s policies and local, state and federal law.
  • Follows all guidelines for procurement as outlined in Centro’s Purchasing Procedures. This includes managing the check-out and check-in of the company credit cards.
  • Works with the Accounting Manager to ensure purchase orders are processed in a timely manner.
  • Provides support in tracking in-kind and enrollment goals, assisting with the timely collection and recording of data.
  • Provides assistance in preparing grant applications as assigned, including community assessments, self-assessments, parent surveys, or other data.
  • Provides assistance for center employees with Paylocity questions.
  • Compiles packets for the Child and Adult Care Food Program. Once reviewed for accuracy, submits these packets to the Health and Nutrition Manager.
  • Other duties as assigned by the Area Manager.


Qualifications

Associate degree or higher in administration, management, or related field. Bilingual in Spanish and English strongly recommended. Physical requirements include extended periods of time sitting or standing, ability to lift 50 lbs., ability to stoop, bend, and perform other actions commonly associated with administering a preschool program.
