Office Manager- Roofing
Job description
RRCA is looking to add a office manager to our newest office in Port Charolette Florida. We have 8 offices in florida. Our office managers must maintain a solid understanding of our CRM platforms and computer systems, exhibit strong project management skills, be detail oriented, and exhibit a strong understanding of customer service related best practices.
The day to day responsibilities include:
- Front desk operations including but not limited to: answering phones, maintaining a professional office work environment, filing, processing, and submitting paperwork
- Responding to all customer emails in a timely manner, providing solutions when possible, escalating issues as necessary, and following up with the customer until a solution is reached
- Ordering, reviewing, and maintaining inventory of all marketing materials, necessary paper documents, office supplies, company uniforms, technology, and special requests
- Act as a liaison between the corporate office and the salespersons
- Assisting the salespersons with the CRM platform(s)
- Assisting vendors and new hires with onboarding, ensuring all required paperwork is complete, and submitting to Human Resources to process
- Assisting salespersons with inquiries or problems, offering solutions when able or directing him or her to the appropriate department to address the issue
- Collecting and scanning payroll documents to corporate, applying all labor invoices in the CRM platform; updating work orders and budgets accordingly
- Confirming all cap out requests have a customer completion form before submitting with payroll
- Sending out and following up on mortgage checks to ensure all are received and processed
- Processing all checks for deposit
- Assisting the customer care department with collecting payments
- Monitoring unassigned leads to ensure they are assigned in a timely manner
- Monitoring the use of petty cash checks and submitting all supporting documentation to the corporate office
- Maintaining company record keeping and tracking spreadsheets
- Ensuring the established processes for job intake are followed and provide feedback to salespersons on missing documents; this includes: applying checks ensuring all documents are accurate, complete, and uploading all documents necessary to begin the permitting process
- Requesting and pulling permits for jobs
- May be responsible for recording Notice of Commencements and scheduling inspections
- Creating job folders in accordance with company processes and procedures
- Coordinating problem repairs
- Ensuring customer satisfaction
- Closing jobs in the CRM platform and documenting the jobs are then ready for final billing upon passing final inspection
- Maintaining records and documentation of all licenses and business tax receipts, ensuring all are current
Job Type: Full-time
Pay: $16.00 - $24.00 per hour
