Team Overview
In this role you will be responsible for creating a supportive and comfortable atmosphere by welcoming visitors and employees to the office, ensuring office operations are running smoothly and efficiently, and supporting all other employee-facing services. You will be an integral member of the EquiLend New York office and seek to foster a well run office for our staff and guests.
Role Responsibilities

  • Greet clients, guests, vendors, and employees in a pleasant and welcoming manner as well as ensuring to add visitors to the building security manifest and/or coordinate the issuance of Building IDs to new employees
  • Be responsible for answering phones courteously, route calls appropriately, and/or record messages as may be necessary
  • Manage day-to-day office operations; ordering office supplies and maintaining stocked inventory with minimal supervision while doing so in a "cost conscious" manner
  • Organize and facilitate employee celebrations and general office events
  • Receive, sort, and route incoming mail; maintain and route publications
  • Receive and/or coordinate outgoing mail and the delivery of packages (FedEx, UPS, USPS)
  • Liaise with the Global Administrative Team and/or Executive Assistants from other offices to organize meeting logistics in collaboration with internal stakeholders
  • Should take an interest in and support company initiatives, attend and participate in administrative meetings and be a "thought leader" in how to improve office operations
  • Ensure availability of office equipment such as coffee machines, printers or collaborate with appropriate teams to ensure they are in working order
  • Cover responsibilities of Executive Assistant(s) as necessary

Required Skills

  • 5+ years of prior administrative and receptionist experience
  • Excellent verbal and written communication skills, demonstrated ability to communicate effectively and professionally with staff, management, clients, or other guests
  • Must possess strong interpersonal skills, be detail oriented, and have strong organization and time management skills
  • Experience with inventory and office supplies management and ordering
  • Familiarity with Microsoft Outlook and the Microsoft Office 365 suite (e.g., Microsoft Excel, Word, PowerPoint, and Forms), knowledge and familiarity with Adobe Acrobat Professional a plus
  • Must be able to send professional emails, announcements or notices as required
  • Available to work from our Battery Park City office 5 business days per week

In compliance with New York City's Salary Disclosure Law, the annual base salary range for this position is $50,000 - $85,000. Please note that the salary information is a general guideline only. EquiLend considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as, market and business considerations when extending an offer.
