J2 Innovations - a Siemens company is looking for a Operations Assistant to join their team in a fast-paced software business operating in the smart-buildings and IoT markets. www.j2inn.com

Responsibilities:

• Proceeds with all day-to-day functional specific operations, and applies IT systems.
• Prepares specialized routine report and correspondence, and/or statistics.
• Maintains records and filing systems; types and/or enters data into computer systems, including Office application or specialized software packages.
• Completes routine reports, in order to support decision processes in the area assigned.
• Performs the administration of programs, projects, and/or processes specific to the organization unit served

• Scheduling Meetings
• Managing Travel; including ensuring Compliance when U.S. employees travel abroad (BTAT & PTAC Process)
• Plan events
• Manage basic HR topics; welcome packages for new employees, administration of onboarding process, communication of birthdays and jubilees etc.
• Make use of modern IT and software tools

• Tracking of Travel Expenses

Qualifications:

• High school diploma or state-recognized GED required; Associate degree preferred
• Excellent organizational and interpersonal skills
• Experience in scheduling travel and meeting coordinator preferred
• Proficient in Microsoft Office (Word, Excel, Outlook)
• Good verbal and written communication skills in English
