Job Description

General Statement of Duties: Answer incoming lines in a friendly and courteous manner. The check out receptionist is responsible for making and scheduling patient appointments in an efficient and timely manner. Enter appointment in the computer on all schedules as needed. Greet and direct all patients in a courteous and friendly manner. Collect co-pays or refraction fees if necessary.

Essential Function: Receptionist

  • Books, coordinates and reschedules patient appointments. Relay necessary messages to staff.
  • Maintains and updates current information on physician’s schedules ensuring that patients are scheduled properly and appointments confirmed.
  • Answers telephone in a polite, prompt, and helpful manner, screens calls, takes messages and task them to the appropriate person.
  • Able to schedule appointments with referring doctors.
  • Answers questions regarding patient appointments.
  • Take telephone messages which are legible and obtain all required information.
  • Collect co-payments or other patient-responsible balances, issue receipts, prepare deposit and maintain cash drawer daily.
  • Be at your work station and ready to start your job by 8:00 am arrival at 7:45 am.
  • Print Fee Tickets from Touchworks for the next day appointments and give to techs.
  • Check insurances, appointments, and outstanding balances the day before patient’s actual appointment.
  • Meet or exceed patient, doctor, and staff expectations through a cooperative, teamwork approach.
Performance Criteria:
  • Ability to handle multiple tasks at one time, ability to be flexible.
  • Ability to utilize computer systems for the purpose of completed assigned tasks.
  • Ability to follow detailed instructions.
  • Skills in communicating effectively with co-workers, doctors, and patients.
  • Ability to maintain an effective working relationship with patients, doctors, and co-workers.
  • Ability to plan, organize and prioritize assignments.
