Job description
General Summary
The Fabrication Production Admin works closely with our Supervisors and Managers to ensure our employees have a positive work environment, are properly compensated for time worked, and receive the correct internal services. They interface with staffing agencies to assist in recruiting, interviewing, and onboarding new staff.
Principle Duties & Responsibilities
- Review daily timekeeping for hourly personnel
- Update employee weekly schedule patterns as needed
- Ensure all time is approved to meet payroll and end of month deadlines
- Prepare and submit weekly, temp-labor timesheets to staffing companies
- Assist in recruiting shop personnel; schedules interviews, direct contact with agencies
- Ensure all paperwork for employee status changes are complete and filed appropriately
- Review & research invoices for potential discrepancies
- Generate weekly Purchase Orders for temp-labor hours in SAP
- Act as liaison between HR, Payroll & HSE to provide support as needed
- Order & maintain employee uniforms & lockers
- Prepare Expense Reports for shop personnel
- Maintain office supplies and equipment
- Other duties as assigned
Job Specifications
- High School Diploma; 2-3 years related experience preferred or equivalent combination of education & experience
- Knowledge of Time Capture and Order Confirmations in SAP preferred
- Proficient in Microsoft Excel, Word, and Outlook
- Ability to work with minimal supervision
- Maintain confidentiality of all personnel related issues
- Ability to manage multiple tasks and meet deadlines without sacrificing quality of work
- Good customer service skills; displays a professional can-do attitude
- Able to interact with various levels of staff & management
- Desire to work in a collaborative team environment
- Ability to thrive in a fast-paced and ever-changing environment
- Ability to work overtime as needed
Working Conditions
Fast-paced general office environment. Many tasks have high degrees of time sensitivity.
