To provide administrative and clerical support to FCBS clinical staff, and Conditional Release Coordinators by designing and implementing office procedures, tracking data, and processing complex paperwork for the clients that FCBS serves.
Job Duties:
- This position would monitor employee leave time, determine when to advise employee and supervisor when accruals are below requested leave time.
- Determine what type of leave requests are required and ensure documentation is received in a timely manner.
- Prepare and review Community Placement reports, and submits to higher level of management for approval.
- Tracks timeliness of Community Placement reports ensuring that court deadlines are met.
- Prepare notification letters to the court regarding readmission and discharge of unit clients.
- Prepare FCBS client travel request to Court (CP specific).
- Maintain office supplies and equipment
- Ordering all supplies and services needed for client care and unit operation.
- Daily distribution of unit mail.
- Direct support for Conditional Release Coordinators.
- Prepare and track Personnel Action Forms in E-Clearance for unit.
- Performs KRONOS duties.
- Preparing and mailing referral packets to outside agencies.
- Serves as back up liaison for court related communications.
- Other duties as assigned
Substitutions:
Appropriate education will substitute for the required experience on a year-for-year basis.
Preferred Qualifications:
- Highly proficient in the use of Microsoft programs such as Word, Excel and PowerPoint with Google Platform
- 1-3 Years of experience in the Judicial and/or Court System
- Experience with interpretation of court orders
- Excellent professional writing skills.
- Experience with data management.
- Detail oriented skills, managing and meeting deadlines.
- Good analytical and problem solving skills
Conditions of Employment
- A pre-employment criminal background check will be conducted as part of the selection process as this position is deemed to have direct contact with vulnerable persons. Felony convictions, conviction of crimes of moral turpitude, or convictions of misdemeanors related to job duties may disqualify you from being considered for this position. Should your background check reveal any charges or convictions, it is your responsibility to provide the CDHS Background Unit with an official disposition of any charges.
- Former State employees who were disciplinarily terminated or resigned in lieu of termination must disclose the information on the application and provide an explanation why the prior termination or resignation should not disqualify the applicant from the current position. Absent extraordinary circumstances, prior disciplinary termination or resignation in lieu of termination will disqualify the applicant from future State employment with CDHS.
- Must successfully pass a TB (tuberculosis) Test.
On or after October 31, 2021, each facility shall ensure all newly hired employees or support staff members are fully vaccinated at the time of hire or receive their first dose of a two-dose protocol, or a single-dose vaccination, prior to providing any care, treatment, or other services for the facility and/or its clients. Upon hire, new employees will have three (3) business days to provide attestation to their status with proof of vaccination. Vaccinated employees must provide proof of first dose prior to providing care.
Note: Fully Vaccinated means two (2) weeks after a second dose in a two-dose series of the COVID-19 vaccine, such as the Pfizer, Moderna or Novavax vaccine, or two (2) weeks after the single-dose vaccine, such as Johnson & Johnson’s Janssen vaccine.
