Job description
As a Project Support Specialist Team member, you will be responsible for document control activities, including handling the flow of receiving, tracking, retrieval and distribution of documentation to and from our clients.

RESPONSIBILITIES:
  • Provide routine administrative services to engineering professionals working on a project team, including maintaining electronic documents from clients, recording meeting minutes.
  • Assist with the preparation of client meetings, reserving conference rooms, coordinating refreshments, collecting, and compiling documents, recording meeting minutes, drafting correspondence.
  • Ensure timely submission of monthly expense reports for assigned Project Manager(s) when requested.
  • Attends project meetings to update Project Support Team on project deliverables and identify upcoming activities, monitor, track, and report on the status of project deliverables to ensure time, cost and quality metrics are in line with the approved project plans of assigned projects.
  • Responsible for overall project administration in areas of records management, receiving, tracking, retrieval, and distribution of all project documentation, including, but not limited to: Transmittals, Requests for Information (RFI’s), Correspondence, Other Notices such as Meeting minutes, Drawings and Specifications, and Daily Reports.
  • Define and direct, in conjunction with engineering and the client, project document management requirements and procedures; maintains project record keeping system; ensure that all records management/document practices are performance in accordance with requirements.
  • Other duties as assigned.

Qualifications:
  • Associates Degree
  • Must have 2-5 years of project support, document control or similar experience.
  • Must be detail orientated and be able to recognize priority of deliverables for processing.
  • Strong technical skills needed in the following: Adobe Acrobat, Microsoft Office Suite (SharePoint, Word, etc) with intermediate to medium skills in Excel.
  • Must possess excellent communication, Inter-personal, Organizational and Written skills.
  • Must have effective planning and organizational skills with the ability to work with a high degree of accuracy.
  • Must have problem solving skills, to strives to understand contributing factors, work to resolve complex situations with appropriate management.
  • Must be dependable by meeting deadlines, working independently, accountable for work, maintain focus, punctual, and good attendance record management.
  • Must be able to maintain a professional attitude and be able to work interdependently or work as a team member when needed.
