Quality and Compliance Licensing and Data Specialist
The Role
With a focus on our Core Values of Integrity, Internally Driven, Fun and Respect, the Licensing and Data Specialist is responsible for the state pool /state placement licensing requirements, data requirements and regulatory requirements within States & the Quality and Compliance department for TotalMed Holdings (TMH). The L&D Specialist will drive accountability and compliance within the specific state requirements while ensuring operational effectiveness and efficiency within the Quality and Compliance Dept. The L&D Specialist will be responsible for alignment and good standing with TotalMed standards for Licensing as well as contractual requirements for TMH client facilities.
What You’ll Be Doing
- Development and execution of the strategic and tactical plans to achieve departmental/organizational goals including standards and metrics.
- Annual departmental participation with Quality and Compliance team to include Improvement of Compliance Goals, and Metrics, Data needs and State Licensing needs
- Ensure all documentation is properly verified, is accurate, and is stored appropriately; responsible for ensuring a timeliness of updating required documentation and acting upon an expiring licensing proactively in a 60-day timeframe or more.
- Client relationships as needed to include those clients that might audit, review, or recommend compliance improvements. As well, relationship and communication with State Licensing Offices to remains in good standing for current State Staffing / Pool Licenses.
- Serves as resource for licensing, audits, required standards in collaboration with the TJC Licensing and Credentialing Leader, VP of Compliance, the Clinical Liaisons, and the Managers of the Compliance Teams
- Assists the TJC Licensing and Credentialing Leader in the reporting Quality and Compliance data, Licensing needs, State Licensing changes and needs for HCSS (Health Care Staffing Services) Firms, TJC support as needed
- Assists the TJC Licensing and Credentialing Leader in analyzing and preparing reports relevant to data and licensing functions.
- Assists the TJC Licensing and Credentialing Leader to prevent and mitigate risk associated to compliance functions.
- Assists the TJC Licensing and Credentialing Leader to effectively evaluate efficiencies of current policies and procedures while striving for continued process improvements with a focus on innovation and efficiencies.
- Coordinates with the TJC Licensing and Credentialing Leader to ensure all technology processes, including technology adoption, implementation and standard operating procedures are effective, efficient, and consistent for both internal and external employees.
- Works directly with Quality and Compliance team to ensure transparency of any/all compliance changes while being accountable for necessary changes. Completes and updates a required document on all HCSS licensing needs and updates
- Provides collaboration between the Main Office Location and Multi -Site Locations and States for required Licensing Needs. This would include renewals and new licensing requirements in coordinated efforts and direction from the TJC Licensing and Credentialing Leader
- Coordination of HCSS State Pool and Placement Licensing and related functions, in collaboration with the TJC Licensing and Credentialing Leader & VP of Quality and Compliance. Primary functions include Application for new HCSS State Licenses, Renewal of HCSS Licenses, Tracking State requirements for HCSS, and other Data and Tracking requirements within the Quality and Compliance Department as designated by TJC Licensing and Credentialing Leader
- Will serve as primary or secondary contact for state licensing offices of assigned division and others as deemed appropriate by the TJC Licensing and Credentialing Leader
- Understanding of local, state, and federal compliance regulations and quickly responds to changes within regulations while keeping TJC Licensing and Credentialing Leader & VP of Quality and Compliance and appropriate divisions aware of such changes.
- Will serve as member and contributor to the TJC ongoing requirements, self-assessment, required evaluations and documents and survey management under the direction of TJC Licensing and Credentialing Leader as needed
- Will assist in creating methods and process to assist the TJC Licensing and Credentialing Leader with meeting management, data reporting, data gathering, data analysis and records management as determined
- All other job duties as assigned and required.

What We Look For
- Preferred Degree in Data Management, Informatics, Credentialing, Project Management, Business or Health Administration, Health Services Administration, or related field
- 1+ Work experience coordinating or handling projects, assignments, metrics reporting, licensing, credentialing
- 1+ Years in data entry, and extremely proficient in Microsoft office products
- 1+ Years in data analysis or licensing/credentialing/regulatory experience
Physical Requirements
- Ability to lift up to 20 lbs. as necessary.
- Must be able to remain in a stationary position at least 50% of the time.
- Occasionally move throughout office environment.
- Continually observe information/data both on paper and electronically at a close range/distance.
- Continually operate computer and other electronic office equipment.

Education
Required- Bachelors or better
