Daily job duties-Direct report to Office Manager
- Answer telephones, give company information and make appointments for President, CEO, Office Manager and General Superintendent as needed
- Operates various office equipment including a personal computer, copier and phone switchboard
- Takes, logs and sets up all Bid Files
- Assists Project Coordinator with emailing, tracking, following up on subcontracts and sub change orders as directed. When subcontracts are signed, document Foundations; scan and send to Project Coordinator.
- Assists the Office Manager with on boarding of new hires; to include ordering ID badges; setting up mail boxes; order business cards and scheduling any classes necessary to perform their job
- Inventories, keeps track of and orders all office supplies. This includes maintaining the list for all copiers, KIP and individual printer supplies.
- Tracks expiration dates and updates spreadsheet for dust permits, fire extinguishers and 1st aid training per employee
- Order Company Apparel as directed.
- Stamp and sort timecards and distribute to Project Coordinators, weekly.
- Responsible for updating and distributing the field labor calendar;
- Responsible for checking in and out keys for the warehouse, trucks, office etc.
- At the direction of the Project Coordinators; type, print and mail out Notice of Right to Lien
- At the direction of the Account Payable Clerk, assist with various duties as needed
Experience: One year experience with clerical duties to include answering a multi phone switchboard; Working knowledge of Microsoft Word/Excel and Outlook is required. Construction knowledge a plus.
Education: High School graduate or equivalent
Ability: As the face of the company, come in every day, dressed in a professional manner with a positive demeanor; Provide excellent customer service; Problem solve quickly and effectively; With patience and persistance assist subcontractors and co-workers as needed; Effectively handle the duties outlined above; Willingness to set and achieve goals quarterly; Keep front office reception area in a neat and orderly fashion.
Hours: Monday-Friday from 6:30 a.m. – 3:30 p.m.
