Job Description

Assist the Director of Catering and Catering Managers to ensure customer satisfaction by following Hotel policies and procedures. This includes answering telephones, completing all correspondence and maintaining a filing system.

PRIMARY RESPONSIBILITIES

  • Adhere to all hotel policies and procedures.
  • To be proficient in typing skills so as all correspondence will be done in a professional manner.
  • To maintain an accurate and up to date filing system.
  • To handle all phone coverage of Catering Department.
  • To ensure that all information regarding each group is sent to proper department on schedule in order to facilitate the proper handling of each group.
  • To be prompt and accurate in completion of assigned projects.
  • To be knowledgeable in the procedures of finalizing meetings and food functions.
  • To perform all other reasonable tasks as requested by the Director of Catering or Catering Managers.
  • Reporting to work on time (as scheduled) in proper attire.
  • Maintaining a positive attitude toward the hotel and the job performed.

JOB DUTIES

  • Telephones will be answered promptly with a greeting, identification of Catering Department and your name.
  • To take phone messages containing the necessary information needed by the managers to respond.
  • To offer assistance to people calling the office and assist on site, unscheduled customer inquiries.
  • To type such correspondence as inquiry letters, confirmation letters, thank you letters, banquet event orders, function information agenda, and all other letters as instructed by the Catering Managers.
  • All correspondence will be proofread prior to being given to the Catering Managers for his/her signature.
  • To set up files and see that all are properly traced, pulled on the appropriate date, and given to the Catering Managers.
  • To assist other administrative assistants when work load permits.
  • Maintain department logs for outside services.
  • Responsible for seeing that the weekly and daily event schedules, banquet event orders, daily change sheet, banquet checks, door cards, and any other miscellaneous work as instructed are typed and circulated in a consistent and timely manner.
  • To possess the maturity of evaluating priority situations.

Job Requirements

· Minimum two year Food & Beverage Management with Banquet Operation.

· Hold a current California Food Certificate.
