The Role

The main objective of the HR Function is to deliver value to Shell and its constituent Businesses and Functions by developing and executing people strategies in direct support of the Group Strategy. The role provides support to both Global DEI and SBO HR.
The Diversity, Equity and Inclusion (DEI) global team is responsible for delivering Shell’s Powering Lives ambition to become one of the most diverse and inclusive companies in the world and does this by collaborating across Shell with senior leaders, global ERGs (employee resource groups), HR and global functions. We also work externally with a variety of NGOs, and external partners to progress DEI in communities where we work, live in and draw talent from.
The Shell Business Operations (SBO) is global team that operates across 4 countries in 5 centres namely SBO Bangalore, SBO Chennai, SBO Krakow, SBO Kuala Lumpur and SBO Manila. The team enables execution & delivery of people agendas across the SBO, and within each SBO centre ensure alignment with local regulations, manages employee relations, mitigating risk and exposure where it exists. We work closely with senior business and function leadership teams and stakeholders across Shell in support of/delivery of their people agenda.
What’s the role?
Role and Accountabilities:
Provide frequent, full, proactive and confidential admin and secretarial support to the VP DEI and VP HR SBO.
Diary management - support the planning and co-ordination of internal and external meetings, considering purpose, importance, impact and various complex and comprehensive boundaries and interfaces.
Travel arrangements (bookings, logistics and visas).
Expense management - Assistance with budget management (eg. payment orders and invoices, vendor creation and payment), monitoring and claiming expenses.
Assist with meeting preparation and other documents by liaising with others in the collection and preparation of information.
Support to team (Global DEI and SBO HRLT):
Support on external/ key internal meetings (bookings, logistics, catering, visas, general organisation).
Support on leadership and team meetings including liaising with external parties involved (bookings, logistics, catering).
Support on onboarding new team members (admin, IT etc).
Additional Job Description
This role is responsible for providing comprehensive, efficient & effective day-to-day support to VP DEI and VP HR SBO.
Complex schedule management involving external stakeholders, including frequent travel (plans often subject to last minute change).
This role is a 2-years contract.
