Job Purpose:
This position is an exciting, entry level professional position in the Office of the Registrar & Academic Services. Recent college graduates are welcome to apply!

The Special Enrollment and Academic Services Specialist serves as a member of the Registration and Academic Services Team and is the primary point-of-contact for the Office of the Registrar and Academic Services. The Specialist also serves various student populations seeking to register for coursework at the University, including High School Scholars, non-degree students, senior citizen auditors and undergraduate and graduate students enrolling in special sections. Finally, the Special Enrollment and Academic Services Specialist processes directory information confidentiality requests, researches name changes and special cases where records cannot be located or identified and processes student record changes in Banner including changes to address, contact information and residency status.

Essential Duties:
  • Function as primary front-end responder for constituent in-person, phone, fax, email inquiries directed to the Office of the Registrar and Academic Services; promptly and courteously provide "how to" guidance to those seeking information; interpret and apply policy and procedures to student-specific situations

  • Manage registration activities for all non-degree undergraduate and graduate students in a timely and accurate manner; coordinate student lifecycle enrollment activities with relevant University areas including, but not limited to, the Admissions Office, Bursar, faculty, Deans Offices, Student Life and other administrative units; provide high-quality academic advising and register students; develop and manage registration and grading communication plans for these student populations

  • Manage the High School Scholar Program; serve as the University spokesperson at events and communicate professionally and independently with high school guidance counselors, students and their families; assess student credentials to determine course pre-requisite knowledge requirements; register students in appropriate coursework; develop, deliver and support High School Scholar Orientation at multiple times throughout the year; develop and manage registration and grading communication plans for these student populations

  • Perform academic progress reviews for all non-degree students, High School Scholars, senior citizen auditors; communicate academic progress information to students

  • Manage and perform creation of special enrollment sections in Banner; reconcile discrepancies and register approved undergraduate and graduate students; monitor approvals for curricular and policy accuracy and serve as academic policy gatekeeper

  • Process directory information confidentiality requests; research name changes and special cases where records cannot be located or identified; process student record changes in Banner including changes to address, contact information and residency status, student legal name changes and confidentiality requests

  • Manage class list distribution and collection process; prepare faculty communication plan

  • Reconcile corrected class lists and communicate nonattendance to faculty and deans offices and Registrar

  • Train, educate and guide students about Banner self-service opportunities in the my.scranton portal, as well as accessing the online course schedule, online catalogs and essential information represented on the academic services and commencement webpages

  • Manage academic advising materials process: order, prepare and distribute all academic advising materials per term; collect and publicize advising-related deadlines and information; assign, review and maintain registration PIN requests

Additional Skills Required:
  • Excellent communication and problem-solving skills with an enhanced customer service orientation

  • Ability to compose, frame and disseminate information proactively through University email, websites and portal self-service modalities; ability to understand and effectively relay academic service and resource information, and redirect to other University resources when appropriate

  • Ability to multitask and meet deadlines

  • Experience using Banner or similar enterprise system, web portal self-service, website and email modalities to deliver and communicate services

  • Demonstrated computer proficiency with Microsoft Office applications as well as other software

  • Ability to be team-oriented while working both independently and collaboratively

  • Ability to interface effectively work collaboratively with other University constituents

  • Must be able to support the Universitys commitment to fostering a diverse, equitable, and inclusive culture

  • Must be able to respect, support and contribute to the Universitys Catholic and Jesuit mission

Minimum Education Requirements:
Bachelors degree required

Preferred Education:

Minimum Job Experience Requirements:
  • Minimum of 3 years of progressive experience in student or customer services in a comparable environment

Preferred Qualifications:
  • Experience in a higher education environment strongly preferred

Schedule/Work Hours:
Monday through Friday, 8:30 a.m.-4:30 p.m. Additional hours as required.
