Supervisor Product Inventory & Movement
Job description
Leads the Logistics (Scheduling and Inventory) activities for a defined set of Crude assets, including day-to-day management and leadership of the Product Movement and Inventory Management Analysts (PIMA) that support the applicable assets. Oversees the following tasks:
- advising customers on, review of, and acceptance of nominations;
- interconnect confirmations with connected carriers;
- daily scheduling;
- evaluation/monitoring of inventory positions to ensure physical and paper product balances are appropriate;
- resolution of ticketing discrepancies;
- monthly closing;
- over/short reconciliation;
- system settlements; and
- training on and optimization of the internally-developed inventory and scheduling applications.
Must possess, or have the ability to rapidly obtain, detailed knowledge and comprehensive understanding of:
- the asset base;
- the customer base;
- agreements, tariffs, and obligations;
- how Logistics changes impact internal and external stakeholders;
- applicable procedures, workflows, software, etc.;
- power, DRA, and optimization principals; and
- quality control principals.
This job requires complex analysis, independent judgment, and the ability to make real-time, quick decisions that could have large financial impact to the Company and to customers. Must have the ability to interpret, enforce, modify, or develop procedures to drive optimal performance of the team.
Maintains and enhances relationships with customers, connected carriers, and other internal stakeholders. Coordinates with these groups on a daily basis. Collaborates with other internal departments and stakeholders on projects and initiatives to ensure scheduling and inventory concerns/issues are addressed.
Responsible for leading and managing a team of professional, direct-reports:
- communicates job and performance expectations;
- manages team performance;
- trains or provides for adequate training for employees;
- coaches, counsels, and motivates employees;
- investigates complaints or performance concerns;
- in consultation with Human Resources, implements corrective action as needed;
- ensures compliance with the company’s policies and procedures;
- formulates and executes cross training plans to provide coverage for PTO, leave, etc.;
- has, or quickly develops, the capability and knowledge to perform the daily work for all areas under supervision; and
- establishes emergency plans and is expected to be on-call to respond to emergencies.
RESPONSIBILITIES
Product Movement
- Reviews multifaceted schedules for shipments and deliveries developed by direct reports for both pipeline and terminal assets in accordance with shipper nominations, system capabilities accommodating for scheduled maintenance, cost optimization, expansion projects, product quality concerns and emergency upset conditions.
- Consults with Quality Control to ensure proper product specifications are maintained.
- Forecasts monthly system capacities.
- Analyzes different scenarios and generates solutions related to complex scheduling issues.
- Provides Commercial Business Managers subject matter expertise related to the pipeline systems that allows decisions to be made on potential new projects/opportunities and to ensure that integration of new assets/connections are completed on time.
Product Inventory
- Supervises the evaluation/monitoring of system inventory positions and tickets to ensure physical and paper product balances are appropriate.
- Supervises the review of customer inventory position to ensure customer positions are within contractual storage limits and minimum requirements.
- Oversees the monthly allocation process of main line capacities.
- Resolves escalated ticketing issues.
- Ensures accurate reconciliation and settlement of monthly closing process.
- Reviews and approves inventory adjustments to reflect physical movements not correctly processed by the nomination/inventory system.
- Ensures proper setup and training for new users of the crude inventory system.
- Minimizes system product volume variations (Over and Short) via the daily tracking of movements within the regional area of responsibility utilizing multiple excel spreadsheets, LiveLink documents, and various Magellan internal applications.
Supervisory
- Provides leadership and supervises employees within span of control.
- Coordinates department activities and assignments.
- Ensures quality of subordinates' work.
- Evaluates department processes and recommends and coordinates needed changes based on process analysis.
- Makes decisions, solves problems; develops procedures, conducts meetings, manages employee hiring process, manages team performance.
- Trains or provides for adequate training for employees.
- Coaches, counsels, and motivates employees.
- Addresses complaints or performance concerns.
- Communicates job and performance expectations.
- Implements corrective action as needed and in consultation with Human Resources.
- Creates an ethical, non-discriminatory, and safe work environment.
- Ensures compliance with Company policies.
- Establishes effective communication lines/methods.
- Manages conflict; approves paid time off (PTO) and overtime (if applicable) and reviews and approves time sheets.
- Completes annual performance evaluations with employees and provides periodic performance feedback throughout the year as needed.
REQUIREMENTS
- Bachelor’s degree preferred.
- 8+ years job-related or industry experience preferred.
- Microsoft Office Suite.
- Prior pipeline scheduling experience.
- Excellent customer service skills.

Experience
Preferred- Prior pipeline scheduling experience.
