Job description
This position will assist the Purchasing Manager in all procurement activities. Manages purchasing of assigned items. Functions as a lead for the department. Lead the implementation of new technology, including but not limited to MPS. Help the Purchasing Manager improve the purchasing team and develop the team members. The goal is for the Sr. Purchasing Assistant to learn all aspects of the Purchasing Manager role and be ready to move into the manager role within 3 years.
Essential Duties and Responsibilities include the following.
- Supports the Purchasing Manager in his procurement activities, including identifying and onboarding new suppliers, managing existing suppliers, contract negotiations and documentation
- Tracks inventory levels for items purchased based on annual Pack Plan and S&OP, as well as items normally kept on hand and coordinates with other departments to ensure correct supply levels.
- Tracks inbound dates to requirements for all purchasing and release activities
- Manages complete purchasing cycle for specific assigned items assigned by Purchasing Manager
- Develops close relationships with key brokers, importers and assists Purchasing Manager in maintaining these relationships
- Travels domestically and internationally for food safety audits of fruit and packaging manufacturers and vendors
- Works with the Purchasing Manager to develop formalized vendor bidding, selection and approval processes
- Supports the Procurement and Quality Teams to meet vendor regulatory requirements
- Works with the Purchasing Manager, New Products Coordinator and Accounting on commodity and packaging pricing for new products
- Tracks commodity and packaging pricing trends and publishes forecasts, including seasonal availability
- Tracks global supply chain issues as they pertain to WFF’s business and uses this information to ensure materials availability to production but also to avoid costly expediting fees
- Works with the Purchasing Manager to develop a supplier metrics program
- Helps improve existing, and build new, procurement systems and solutions, including but not necessarily limited to:
- Vendor bid/quote tracking
- Tracking supplier claims and cost variances
- Procurement document management
- Optimized use of Microsoft Teams for Procurement functions
- Procurement function Reporting
- Represents Procurement in the Master Planning and Scheduling (MPS) project (when it is re-started)
- Co-represents Purchasing in S&OP meetings and actively works cross-functionally to improve the S&OP function
- Coordinates all procurement activities with Supply Chain, Warehouse and Production
- Directs and/or develops SOPs for all procurement functions
- Coordinates with Production for managing shuttling of locally stored ingredients and packaging
- Coordinates with Accounting for Packaging cycle count function
- Assists Purchasing Manager with preparation of annual budgets
- Handle special projects as assigned
Note: This job requires up to 3 weeks a year for domestic and international travel. The ability to travel both domestically and internationally is a requirement of the position.
Qualifications
The following qualifications are required for this position:
- College degree or equivalent work experience
- Significant previous customer service experience
- Minimum 5 years’ procurement experience
- Experience in the food industry strongly preferred
- Strong MS Office skills, particularly Excel
- Modern ERP, MRP experience strongly desired
