Supervises assigned employees and activities for the efficient administration of medical office activities. Coordinates a broad range of functions including patient billing, registration and scheduling, electronic medical record (EMR), budget, etc. Provides administrative support services and other related duties. Assists in the implementation of new Integrated Behavioral Health Program in partnership with the Site Chief, Practice Manager and Director.

Primary Responsibilities:

  • Supervises and mentors Patient Service Specialists (PSS)
    • Manages schedules to ensure coverage
    • Approves/Denies PTO based on department coverage needs
    • Ensures PSS duties are covered and completed in a timely manner
    • Completes annual reviews
    • Processes PSS payroll and ensures accuracy
  • Scheduling
  • Prior authorizations
  • Mailings, faxing (sending and receiving), in basket management
  • Resolves discrepancies as needed
  • Monitors a variety of reports to ensure duties are completed
  • Creates and maintains prover/prescriber schedules in Epic (Templating)
    • Assists with updating and creating workflows to ensure smooth running of department
    • Assists in recruitment process
    • Obtains and maintains Epic Super User status in order to educate and train others
    • Assists and responds to patient concerns/complaints
    • Act as primary operations support for various groups
    • Onboarding and department orientation
  • Ensure new employees are introduced and trained in various applications to be able to be successful in a virtual or hybrid model of care

This will be a hybrid position. While there is opportunity to work from home, frequent visits to various offices will be required. Offices are located across Framingham, Southborough, Milford, Westborough, Shrewsbury, Worcester, Webster, Auburn, Holden (all MA).

Required Qualifications:

  • Associates degree or 3+ years of relevant experience
  • Experience with various software applications such as Microsoft Excel, Word, Outlook, etc
  • Experience with EPIC
  • Knowledge of medical technology and medical coding
  • Ability and willingness to work in offices located across Framingham, Southborough, Milford, Westborough, Shrewsbury, Worcester, Webster, Auburn, Holden (all MA) as needed

Preferred Qualifications:

  • Experience managing direct reports; experience onboarding new hires
  • Demonstrated leadership ability that includes problem solving skills and the ability to communicate via written reports
  • Demonstrated excellent organizational, interpersonal, team building and communication skills
  • EPIC superuser status
